What does an inhouse wedding venue coordinator do?

If my venue has an in-house wedding coordinator, do I also need my own planner? What tasks does a venue coordinator do that a planner might double up on? (What doesn't a venue coordinator do?) Thanks!

Our in-house wedding coordinator will assist you in planning everything related to your venue. They will be your onsite point of contact from the intitial meet and greet, throughout the all planning stages including setting up on the day through to saying goodnight before packing down at the end of evening.

Our dedicated coordinator is onsite the whole entire day to coordinate deliveries, set ups, complete all the final touches and ensure the order of events run exactly as you planned together.

Hi,

Our Events Property Coordinator makes sure that your event runs smooth in the eyes of the property. Parking, Set ups etc. Your event planner will do the styling flowers etc. We do a lot of DIY weddings and therefore we make sure it all runs smooth. At West Lakes Golf Club we have a wedding day co-ordinator that will manage the day from start to finish.

  • Floor plan set up for the ceremony and reception
  • Timeline created after liason with the wedding planner 
  • Co-ordinates staffing for the evening

- Site visit to arrange layout and also advise on styling options

- Communication with all your vendors, i will be the main point of contact for anything to do with the wedding

- Timeline and run sheet

- Detailed site plan and mud map creation

- Unlimited phone calls and emails

- On site early for your wedding day for any last minute arrangements

- Soft decors that have to be set up on the day of the event

- Complete management of your wedding day

- Direct Liasing with your outsourced vendors

- Approximately 10 hours on your wedding day to ensure everything is perfect. I will be there from start to finish to ensure everything is working smoothly.

I do not offer wedding planning, but i can definitely assist you with the process.

I am the in-house wedding planner for Pioneer Country. I am responsible for:

  • Creating a shared run sheet (in the cloud). The run sheet includes budget, timeline, schedule, menu, styling, layout & supplier details.
  • Showing couples and their families our 170-hectare property and all the wedding options and combinations available at our venue to meet their vibe and budget. (I often do multiple tours for other family members that get involved after the venue is booked.
  • Coordinating planning meetings (as many as it takes)  to lock in key details such as invitation start time, ceremony start time, and meal service time and to agree on what styling will be provided by the bride and her 3rd party vendors and what styling will be provided inhouse.
  • Provide familiarisation tours to other suppliers eg photographers, videographers, florists, celebrants etc and direct them during bump-in and bump-out and during the event. I will even book 3rd party suppliers on behalf of the bride for a small service fee.
  • Schedule wait staff, responsible service of alcohol staff, kitchen staff, cleaning staff, place setting, in-house styling  etc
  • Recommend my list of proven and trusted suppliers that won't let the couple down.
  • Be available for the bride as a sounding board on all matters related to the wedding.

I prefer to deal with the bride directly to ensure nothing is lost in translation however I am happy to work with her delegate be it the mother of the bride, the sister or 3rd party professional planners (however if the budget is tight then I don't believe this extra expense of another wedding planner is warranted).

Your dedicated Event Coordinator will be your point of contact for all venue-related requirements. They will create a run sheet for your event, a floor plan, coordinate all menus and food service for your wedding, liaisies with external suppliers (or in your case if you have a wedding planner, they will liaise with them) and make sure everything is set up at the venue for your big day. Your wedding planner will still assist you with your suppliers/theming/decorating etc. I hope this answers your question.

Hi, Actually we dont have an inhouse wedding planner / coordinator but we have a local compnay that we work with reguarly. Otherwise the majority of our couples do all their owm organising and we can provide you with ideas, assistance, furnitutre set up and a detailed suppliers list to help make it easier for you if yiu wish to do it yourself.

In my experience, an in-house wedding coordinator does the following:

  • Advises what set up will work best for the ceremony and reception
  • Helps create a seamless timeline (run sheet) 
  • Sets up and packs down the entire wedding
  • Coordinates all food service within the venue
  • Coordinates staffing for the evening
  • Liaises with all external suppliers ensuring all suppliers are aware of the evenings proceedings and timeline
  • They will be there for the entire wedding, ensuring the vision you and the coordinator have discussed is executed to perfection
  • If there are any issues which pop up, they will tend to immediately and discretely 

The points I believe an in-house wedding coordinator and a wedding planner may double up on, would be:

  • Advises what set up will work best for the ceremony and reception
  • Helps create a seamless timeline (run sheet) 
  • Sets up and packs down the entire wedding
  • Liaises with all external suppliers ensuring all suppliers are aware of the evenings proceedings and timeline
  • If there are any issues which pop up, they will tend to immediately and discretely

(However I cannot be 100% sure, as I have not worked with a wedding planner within my venue)

The only point I can think of which a in-house wedding coordinator does not do is the styling. Often wedding planners are also stylists, so they can help you create your vision from your inspiration board, whilst also sourcing the suppliers and planning it all out. 

This being said, most in-house wedding coordinators will assist you with your suppliers if you ask, however finding them and booking them is up to the client.
