Hi, I'm Nikki, the founder of Cali & Co. I know what it feels like to be a couple planning a wedding, because I've been there. That experience, combined with a background in events, shaped the way I work. I understand the overwhelm of a hundred decisions at once, and what it feels like to want someone in your corner who cares about the details as much as you do. My focus is always on the small, considered touches that make a wedding feel entirely yours.

We recommend reaching out 12-18 months before your wedding date for full planning, and at least 6 months ahead for partial planning or day-of coordination. That said, we always do our best to accommodate timelines - so don't hesitate to get in touch.

Absolutely. While we're based in Australia, we love working with couples who dream of celebrating in unique locations - whether that's a vineyard in the Hunter Valley, a coastal venue in Byron Bay, or somewhere further afar. Travel fees may apply depending on the location.

We intentionally keep our calendar limited to ensure every couple receives our full attention. We typically take on a select number of weddings per season so we can be deeply involved in each celebration.

Our complimentary consultation is a relaxed conversation - typically over a call - where we get to know you, learn about your vision, and discuss how we can best support you. There's no obligation, just an honest chat about your day.

We work with a range of budgets and always approach spending with transparency and care. Our goal is to help you allocate wisely so that every dollar contributes to the overall experience. We'll be upfront about what's realistic within your means.

One of the things Nikki does so well is take the things that matter most to you and turn them into details people actually remember after the wedding is over. We wanted our wedding to feel really personal, but still sophisticated and true to the atmosphere we had imagined. We both love Alice in Wonderland, but we were very conscious that we didn’t want the wedding to feel themed, gimmicky or overdone. Nikki understood that straight away. She found subtle and thoughtful ways to weave little references into the weekend. The personalised “Open Me” envelopes with handwritten notes for each guest, the small “Drink Me” details and the other little touches throughout all felt really meaningful without taking away from the overall look and feel. It still felt like the timeless wedding we wanted, not a wedding built around a theme. The handwritten notes ended up being one of the things people talked about the most. Guests took them home, kept them and still mention them to us now. It was such a good example of how Nikki creates moments that make people feel genuinely seen and included. And behind the scenes, everything just felt calm and easy. I know there was a huge amount to manage across four days, multiple events, several different vendors and guest logistics, but it all felt so organised, considered and effortless. Nikki is creative and incredibly detail-oriented, but what really stands out is how well she listens. Nothing felt generic. Every detail felt personal and true to us. So many of our guests said it was one of the most thoughtful and well-planned weddings they had ever been to, and I think that says a lot about the care Nikki puts into what she does. What are the best ways to keep vendor details organised?

We’re currently knee-deep in wedding planning and the sheer volume of emails, quotes, and contracts is starting to feel like a full-time job. We want to make sure we’re staying on top of everything so nothing falls through the cracks on the day. Are there specific habits or tools you’ve seen work best to keep communication clear and easy for everyone involved?

As a wedding planner, my biggest piece of advice is to create a dedicated wedding email address that both partners can access. It keeps all your vendor communications, quotes, contracts, invoices, and updates in one place, making it much easier to stay organised and ensuring nothing gets lost in personal inboxes.

From there, choose one central system to manage everything - whether that's a wedding planning app, spreadsheet, or project management tool.

For each vendor, keep track of:

• Contact details and preferred communication method
• Quotes, contracts, and invoices
• Payment amounts and due dates
• Key deadlines and deliverables
• Meeting notes and important decisions
• Inspiration photos, menus, floor plans, and other documents

I also recommend creating folders for each vendor and saving every contract, invoice, and email attachment as soon as you receive it. A simple master checklist with booking status, payment dates, and outstanding actions can be a lifesaver in the final months before the wedding.

Most importantly, try to keep all communication within one channel wherever possible. The couples who feel the most organised are usually the ones who avoid having details scattered across emails, texts, screenshots, Instagram DMs, and handwritten notes.

A little organisation early on goes a long way- it not only reduces stress during planning but also gives you confidence that every vendor has the information they need to deliver seamlessly on the day.

Where to cut corners for wedding cost?

What are the non-essentials you would leave out for a budget-friendly wedding? What are the best money-saving decisions you recommend?

There are a few areas where you can save significantly without your guests ever noticing:

Party favours are one of the easiest cuts! The vast majority end up left on tables or thrown away so skip them entirely or do something small and put that money somewhere guests will actually feel.

Florals are another big one; fresh arrangements from a florist carry a hefty price tag but high-quality artificial flowers have come a long way and most guests genuinely won't tell the difference, especially in photos. Consider hiring a selection of silk arrangements and you'll notice the difference in price but not in quality.

Finally, dessert doesn't need to be a three-tier custom cake or the 3rd course which people don't eat in the end - a dessert table with a mix of treats, a simple cutting cake, or even a beautifully presented option from a local bakery can cost a fraction of the price and often goes down better with guests anyway.

The golden rule is to protect the things people will remember - great food, good music, and a brilliant photographer and let go of the things that look impressive on a mood board but barely register on the day!!

What's the honest impact on guest attendance when asking people to take time off work?

Honestly, if the venue is the one, book it. The people closest to you will take the day off without a second thought. The guests you might lose are usually the outer edges of your list anyway - and a Thursday has a way of naturally trimming the people who were borderline invites to begin with.

The only group worth a personal conversation before you commit is anyone travelling from interstate or overseas, since a Thursday asks more of them logistically than a weekend would. A quick message to those guests before you sign gives you an honest read on the numbers.

Get your save the dates out early - six months minimum, nine if you can. Most people can sort leave well in advance if they're given enough notice, and it stops being a talking point pretty quickly.

One thing worth being realistic about: it won't be a rager. People have work the next day and most guests will have an early exit in the back of their mind, so don't expect the dance floor to be going at midnight. If a big night is important to you, that's worth factoring in. But if you're after a beautiful day that wraps up at a reasonable hour with people who genuinely wanted to be there, a Thursday actually works in your favour.

The honest truth is that a Thursday wedding tends to feel more relaxed and intimate than a Saturday. If the venue is non-negotiable, don't let the day of the week talk you out of it.
