How do you organise transport for the wedding?

We are looking at hiring a car for our wedding, we're quite confused on the hours we may need it for. We will all be getting ready at the same hotel, the guys will be leaving before the girls. Do I hire 1 car (limo) to take the guys and then wait for it to come back and pick us up and take us? Our ceremony and reception is at the same venue as well so we don't need a car once we have all been dropped off. Can we add on a price to the end to take just the bride and groom back to the hotel?

Yes, depending on the distance (therefore time) we can deliver the boys and then return to pick up the girls, we just need to make sure we allow enough time so that neither party feel rushed. Yes we can arrange an 'add on', to return the bride and groom to the hotel.

Hi Madelline, this is a great question!

From our experience this will depend on how far you are from your ceremony, eg. if you are 30 minutes from your ceremony, it will mean that the boys will need to get to the venue at least 1 hour before the ceremony, to allow enough time for limo to come back to pick up the girls.  The closer that you are to your ceremony, the better this will work, and the further you are, there is a chance that you may wish to book seperate limos for each group.

With regards to your after reception transfer, yes adding this to your booking is a great idea, and you might consider booking a limo or a sedan if it is just the two of you.

To answer your questions:

  1. Do I hire 1 car (limo) to take the guys and then wait for it to come back and pick us up and take us?

Yes, you can absolutely do this. The groom normally arrives at the ceremony 30 minutes before the bride so he is in position and appropriately panicking by the time you make your grand entrance. Locations dependent, there should be time to transfer both groom and bride.

I’m not sure where you are lgetting married or what car you have in mind but you will likely find most dedicated wedding transport providers have a minimum number of hours or a large cost for the first hour which decreases the more time you book. This is to cover the costs of paying drivers a set amount to make the job worthwhile and all the preparation time and costs (detail/fuel/tolls/insurance etc). 

You may wish to utilise the full hire time by requesting your car to wait until the ceremony concludes to take you to an alternative photo location. Your photographer should  be able to suggest local, diverse locations. Alternatively, you could consider a “first look” and pics before the ceremony which some couples favour and then travel to the ceremony together.

  1. Can we add on a price to the end to take just the bride and groom back to the hotel?

Yes, this is usually referred to as a “getaway car” and you should be able to get a bit of a discounted rate as the car will be cleaned and prepped from the earlier day hire. For fun and to add variety to the pics / experience, you may want to hire a different car for this task.

It affects our profits but we generally advise against the getaway booking and suggest to clients to ask their hotel what transfer options they have available as some will use this as an incentive to book with them. Experience suggests that it is often too dark for good photos and many couples are too tired/other to remember the getaway car. I would suggest this money would be better used elsewhere such as on your honeymoon or anniversary transfer/joy ride in your wedding car :)

To answer the last question first, yes, you can certainly hire a car just for the hotel return – or 'getaway', as we sometimes call it. And sometimes we are booked for that alone. 

And to the main question, most wedding car hire companies will be flexible regardins what transport needs are sought, although many will work to a minimum callout fee – often three hours. For most weddings, transport to the services is required, then to the venue with photo stops in between. And multiply this out for weddings that are moving, say, the bride's and groom's parties separately at the outset and so on. 

I would suggest that if the all the pick-up locations are close to the service/reception location then one limousine might do it – just time it so that the guys don't have to be waiting around for more than 30 minutes ... you don't want them getting into trouble!
