What is the booking process?

  1. Make an appointment with our wedding coordinator to discuss your wedding and ask any questions!
  2. Check availability.
  3. Place a tentative booking on preferred date (held for 14 days without obligation).
  4. Confirm booking by filling out a booking form, which is a contract and paying a non-refundable deposit amount of $1000.00 to secure your Wedding date
  5.    Enjoy your planning and feel free to ask us quetsions whenever you like!

What is the Wedding Coordination process?

  1. Confirm booked wedding function
  2. Book in your bridal shower, kitchen tea, or hen’s night in any of our private functions rooms and receive complimentary room hire. Contact your wedding coordinator for availability.
  3. Wedding tasting is booked in 6 – 8 weeks prior to your wedding date. We normally like to combine a detailed meeting with your wedding tasting, or soon after. This meeting needs to be on site as we will discuss in detail the set-up, decorations, any suppliers delivering on the day, your running schedule and answer any of your questions about food and beverage service and packages.
  4. Payment—100% of the minimum spend is required 30 days prior to your wedding.
  5. Confirm catering and beverages selections minimum 4 weeks prior to your wedding, including estimated final numbers.
  6. Final numbers, dietary requirements and seating arrangements are confirmed 10 days prior to your Wedding.
  7. Final payment: All outstanding payments are required 7 days prior to your wedding.
  8. Drop off any items that are included in the setup of your wedding day 2-4 days prior to your wedding.
  9. Have a strong drink (or a camomile tea) If you are feeling stressed, take two minutes to think about a point in your wedding ceremony or reception where you know you are going to be feeling incredible. E.g. the moment I reach the end of the aisle and hold my fiancé’s hand and look him in the eyes, or the moment he is putting the wedding band on my finger, or the moment when the officiant announces ‘Husband & Wife!’, or the moment when all the formalities are over, and you are just finishing your first dance… Visualise that moment, smile to yourself, take a deep breath and long exhale, give yourself a squeeze and let out a little excited squeal if you like. You will find that your agonising stress is now wonderful excitement.
  10. Get married, and enjoy the celebration as we take care of the rest!
  11. Any monies owed due to additional beverages purchased on the night i.e.: bar tab, will be charged through to your accommodation room and paid on checkout the next morning.

 

Do you allow outside caterers for food and beverages?

No, we do not allow external food and beverages to be brought in and consumed within the premises (with the exception of the wedding cake, dessert buffet and lolly buffet). If you have a special request, please discuss this with our coordinators.

Are we allowed to bring in additional decorations?

Yes, please enquire with your wedding coordinator. The staff at Hotel Richmond will then place these items in position on the day of your wedding, under the supervision of your wedding coordinator. Please note we do not allow decorations in the form of scatters, confetti or bubbles. In the occurrence of these decorations being brought onto the premises, you will be charged an additional $300 cleaning fee.

What time are we/external suppliers allowed to come in and begin setting up?

You have access to the venue from 3pm on the day of your wedding function. Please speak with your wedding coordinator should you wish to have items delivered to Hotel Richmond earlier than 3pm, i.e. wedding cake, centrepieces, additional flowers etc. If you are also having your ceremony here, different delivery and set-up times will apply.

What happens if we cannot reach the required minimum spend?

Should your catering and beverage selections not meet the minimum spend requirements, unfortunately you will still be responsible for payment of the difference.

However, our wedding coordinator will be happy to suggest ways to increase your food and beverage spend to ensure you get the most value out of it.
