At Easy Weddings, we recently held a webinar hosted by Vibe Tribe’s Lauren Samuels and Easy Weddings General Manager Darcy Allen. The pair explored how to transform your enquiries into actual bookings. They focus on first-impression through to follow-ups that can lead to conversions.

From enquiry to conversation

Every booking starts with a spark of interest, a little something that entices the couple from the start. But many potential clients are lost before a real conversation even begins. Lauren shares her experience from the world of venues: “Venues are not tracking their conversations. Most track how many enquiries turn into site visits, but not how many they’re actually engaging with.”

Engagement means more than just sending an email. It’s an answered call. It’s back-and-forth email threads, or a personal response. One that feels human. Ghosting is one of teh biggest challenges that suppliers are facing. But ghosting comes from a lack of communication from both ends.

Our action points:

  • Audit your enquiry responses. Are they beige and forgettable, or do they stand out?
  • Add personality. A short video, personalised message, or even a well-crafted email can make all the difference.
  • Track your engagement numbers. If you know your enquiry-to-conversation rate, you can start improving it without needing more leads.

Lauren explains further: “Clients often tell us, ‘We need more leads’. But if you focus on the leads you already have and do these action points, you can end up with more bookings.”

From conversation to consult

The conversation has started. It’s now time for the next step: bringing couples closer to your offering. For venues, this is more often than not a site inspection. For other suppliers, it might be a detailed quote, a Zoom call, or an in-person meeting/showroom walk-through.

Darcy speaks about this from years of experience: “I had a much higher conversion rate when I personally walked couples through quotes. It let me pick out pain points before they even voiced them.”

And for Lauren, it’s about a bit of ‘magic’ which comes in the form of demonstrating value, answering unspoken questions, and showing you care.

Action points:

  • Don’t just send a quote—walk them through it.
  • Offer virtual or in-person consultations to create a personal connection.
  • A/B test different approaches (video calls, showroom visits, personalised packages) to see which leads to higher conversions.

From consult to booking

This is the final step of the process, the time when ‘maybe’ can become ‘yes’. Often, it’s the small touches that make the biggest impact.

“I used to brief my team ahead of a couple’s visit, introduce them personally, and make the experience feel special. It helped them envision their wedding day,” recalls Lauren.

A warm welcome, a clear call to action (that could be a tentative hold or even a deposit), and a seamless next step all contribute to this moment.

  • Make the couple feel at home: greet them by name, offer tea or coffee, and create a sense of arrival.
  • End every consult with a defined next step—don’t leave them guessing.
  • Track your consult-to-booking numbers so you know where improvements will have the biggest impact.

“It’s not about chasing more leads,” Lauren says. “It’s about converting the ones knocking on your door.”
