AU Guest Accommodation Booking Terms & Conditions

These terms and conditions govern all guest accommodation bookings made through the Easy Weddings platform, acting on behalf of couples hosting destination weddings.

 

1. Role of Easy Weddings

Easy Weddings facilitates accommodation bookings as an agent for hotels, venues, and resorts contracted for destination weddings. All bookings are subject to the supplier’s own terms and availability. Easy Weddings is not the accommodation provider.

2. Payment Terms

  • A non-refundable deposit of 20% or higher is required at the time of booking to officially lock in your accommodation and exclusive event rates.
  • To keep your planning stress-free, the remaining balance is broken down into manageable monthly installments, easily tracked via your Easy Weddings guest portal.
  • Final payment must be settled no later than 90 days prior to your check-in date to ensure your rooms are fully confirmed and held for your arrival. If payment is not received by this specified due date, Easy Weddings reserves the right to cancel the booking and release the rooms back into our live inventory.
  • All payments made toward your booking remain subject to our standard cancellation policy.

3. Cancellation Policy

All refunds, if applicable, will be issued excluding any processing or transaction fees. We understand that plans can change. All cancellations must be notified in writing to travel@easyweddings.com.au

Once Easy Weddings receives notification of a cancellation, the following terms apply:

Time Before Arrival Cancellation Fee
More than 181 days 20% of total booking excluding any fees retained
180–90 days 75% of total booking excluding any fees retained
Less than 90 days 100% of total booking amount

 

4. Name Changes & Transfers

  • Name changes on bookings are permitted free of charge up to 30 days prior to arrival.
  • Within 30 days, name changes are subject to hotel approval and may incur a fee.
  • Reservations are valid exclusively for the duration of the allotted room block at the selected Venue. Bookings are non-transferable to any dates or periods outside of this specified block. Any stay requested outside of these dates shall be subject to separate availability and prevailing rates.

5. Refunds & Force Majeure

Refunds will not be issued for cancellations made within 90 days of travel except where required under Australian Consumer Law. In cases of force majeure (e.g. natural disasters, government travel bans, pandemics), Easy Weddings will work with hotels to secure credits or deferrals; however, this is not guaranteed and is subject to the hotel’s policy.

6. Travel Insurance

We strongly recommend all guests purchase comprehensive travel insurance covering cancellations, delays, illness, and unforeseen circumstances.

7. Hotel Check-In Policies

  • Check-in and check-out times vary per hotel and will be outlined in your itinerary.
  • Guests may be asked to provide a credit card upon check-in for incidentals. Easy Weddings does not cover these charges.

8. Responsibility for Extras

All incidental charges (e.g. mini-bar, spa, late check-out) are the responsibility of the guest and must be settled directly with the hotel upon checkout.

9. Room Night Allocations & Rates

Room categories and bed configurations are allocated by the hotel and are subject to availability. Special requests will be passed to the hotel but cannot be guaranteed.

Room nights are often contracted based on a minimum stay requirement. Guests may have the option to extend their stay prior to and/or after the minimum contracted dates, subject to availability. Room rates outside of the contracted minimum stay may vary and, when selecting dates outside of this period, additional fees or different pricing may apply.

10. Group Booking Benefits

Guests booking within the Easy Weddings platform may receive special perks such as:

  • Locked-in room rates
  • VIP welcome amenities
  • Group check-in coordination
  • Access to group transfer options (where applicable)

These perks are only available for bookings made via the Easy Weddings platform by the specified cut-off date.

11. Dispute Resolution

Any disputes relating to bookings will be handled promptly by Easy Weddings. Guests are asked to contact us at travel@easyweddings.com.au for resolution.
