How far in advance should I send wedding invites if guests can stay on site at the venue?

We're getting married at the yarra valley, where guests can stay at the venue if they choose. How far in advance should I send out the invites with the details?

Hi there,

For a wedding that requires guests to travel and find accommodation, I recommend sending a "Save the Date" approximately 10-12 months prior to the wedding date, and then the invitations approximately 4-6 months prior to the wedding date. It's also worth noting on the Save the Date cards your preferred accommodation options within the area.

If you have any further questions, please let me know!

Kind Regards, Lava x

Hello!

I generally recommend to get your invitations out 10 weeks before your wedding date and setting your RSVP date 6 weeks before the wedding date. I find alot of venues like numbers a month before the big day so you then have two weeks to chase any late responders before you need to advise the venue.

That is just a rough timeline - you can alter it according to when your venue requires final numbers.

Also if it is a destination wedding you can keep the same timeline but I always recommend sending a Save the Date card at least 12 months in advance - even if they can stay on site - as it then gives guests plenty of notice to financially prepare for travel if they need too. :)

Good luck!

Congratulations :)

definatly mention the option of accommodation on your save the date card. All save the date cards are different. Some just have the actual date and thats it, others already know the venue, and make that known on the save the date. My opinion is to send the save the dates around 9 - 10 months before the wedding with the accommodation details, this gives your guests a heads up about getting organised. Then send the actual invites 6 moths before, if your guests have forgotten they still have time to find accommodation. Another back up idea if your venue tends to book quickly is too google surrounding accommodations for your guests and put together a nice hotel list with your invite. They will appreciate the nice gesture, I have done these for some clients :) all the best. Jess @Quirkycollectioncrafts

Hi there!

Firstly, a big congratulations on your engagement and locking down a wedding date!

When there is accommodation involved, its best to send out your invitations earlier rather than later. Keep in mind that other patrons could book in and fill up the available accommodation too.
We would recommend sending your invitations out approximately 6 months before your wedding date and up to 8 month prior if you have a large portion of guests travelling over 2 hours.

I hope my response has been helpful. Happy planning!

Warm regards,

Hayley
