Choosing the Right Wedding Planner: Important Questions to Ask Before Booking

Planning a wedding can be overwhelming, which is why choosing the right wedding planner is crucial for a smooth and successful wedding day. To help you make the right decision, here are key questions to ask before booking:

What is your experience in planning weddings?

Experience is key when it comes to wedding planning. You want to make sure that your wedding planner has a track record of success and knows how to handle unexpected situations that may arise during the planning process or on the day of the wedding.

What services do you offer, and what is included in your packages?

Wedding planners offer a variety of services, from full-service planning to day-of coordination. Make sure you understand what services are included in each package, so you can choose the one that best fits your needs and budget.

What is your approach to wedding planning?

It's important to choose a wedding planner whose approach to planning aligns with your own. Some wedding planners are very hands-on, while others take a more relaxed approach.

Can you provide references from past clients?

A reputable wedding planner should be able to provide references from past clients. Reach out to these references and ask about their experience working with the wedding planner, the quality of their services, and if they would recommend them.

How do you select vendors, and do you have preferred vendors that you work with?

Vendors play a crucial role in the success of your wedding day, so it's important to choose a wedding planner who has strong relationships with high-quality vendors. Ask about their vendor selection process and if they have preferred vendors that they work with.

What is your fee structure, and how do you charge for your services?

Wedding planners may charge a flat fee, an hourly rate, or a percentage of your overall budget. Make sure you understand how your wedding planner charges for their services and what is included in their fees.

How do you communicate with clients throughout the planning process, and what is your availability?

Make sure you understand how your wedding planner communicates with clients, how often you can expect to hear from them, and what their availability is like.

What is your cancellation and refund policy?

You never know what may happen during the wedding planning process, so it's important to understand your wedding planner's cancellation and refund policy in case you need to cancel or postpone your wedding.

How do you ensure that the wedding day runs smoothly, and what is your backup plan in case of emergencies?

Your wedding planner should have a plan in place for ensuring that your wedding day runs smoothly, including a backup plan in case of emergencies or unexpected situations.

How do you work with the couple to ensure that their vision is reflected in the final outcome?

Your wedding day should reflect your vision and style as a couple. Make sure you choose a wedding planner who understands your vision and is committed to working with you to achieve your dream wedding.

Asking these questions can help you find a wedding planner who is experienced, professional, and committed to making your wedding day unforgettable.

It's always good to be upfront with your wedding planner and get an idea of how they work. Some important questions to consider:

1. How often will we meet or catch up? So that you can schedule and understand at what stage you will discuss all the different elements of your wedding.

2. What hours do you work? It might be that your planner can support you during the evenings with queries you may have, or that they predominantly work during office hours. Good to know from the offset, so that you don't have the wrong expectations on wait times for a response to queries.

3. What is not included in the package I have chosen, are there any extras I should consider in my budget? The most common extra is bump out or late night return to the venue, extra staff if the venue has a tight time for vendors to come in and out, or heavy items to move. These are all factors to discuss with your planner at the quoting and finals stages, as your situation may change before event time.

4. Does your planner have all the professional cover they require for your event? Check that your planner is insured with public liability, has an ABN and what other accredited certificates or experience they have.
