Nelson Bay Golf Club is the perfect venue for you to celebrate your future together. We are an all-inclusive venue for your special day with our beautiful bushland ceremony site on the course, brand new reception centre and resort accommodation located in walking distance next door. Located in Port Stephens, just 2.5hrs north of Sydney, it is a fantastic destination to make it a weekend, not just a day.

Our purpose built Clubhouse reopened in August 2017. It has a dedicated function room with its own bar, entrance, amenities and balcony. The function room is able to accommodate up to 140 people for a sit down wedding with dancefloor and staging and is incredibly versatile in its setup. It has stunning views over the course and out to the headlands for your pre-dinner drinks.

Our in-house caterers, Bluewater Grill, specialise in sophisticated menu options for casual cocktail parties, extravagent 3 course formal dinners, opulent carveries and table banquets. Alternatively, they will help you design your own menu to suit your taste, theme or style.

FAQ

Once your wedding is confirmed your coordinator will contact you via phone or email. They will continue to be in contact with updates and requirements for your wedding up until the day. A 6 week appointment will be arranged around 8 weeks prior to your wedding. This meeting will allow you to go through the finer details of the wedding, speak with the Chef, ask questions and view the venue. You are more than welcome to contact your coordinator via phone or email at any time should you have any questions or requirements.

We supply the following:

-          40 White folding chairs

-          Clothed signing table and 2 chairs

-          Water station for you and your guests

-          Golf is completely stopped from 3pm

Yes! You have hired the area for your ceremony so you are free to decorate as long as it doesn’t disturb any of the flora/fauna at the site. ALL decorations must be removed from the site within 24hours. It’s not recommended for you to leave your decorations overnight on the course as the golf club cannot take responsibility for them. We recommend if using a decorator that you advise them to come and get their items once your guests have moved back to the Clubhouse for your reception. Alternatively we recommend you have a designated family member or friend to look after this for you.

In the case of rain, the balcony or Function Room 2 (depending on the size of your wedding) will be available for you to have your ceremony. Both areas can be decorated as you were going to do the outdoor ceremony site. A minimum of 2 hours notice is required to move the ceremony location. You will be required to provide contact details for the person you wish to make the wet weather decisions and liaise with your Coordinator on the day.

No, unfortunately. Nelson Bay Golf Club is a 27 hole course. As much as we have closed off the back 9 holes for your ceremony there is a high chance there will be golf being played on the remaining 18 holes. It is an occupational health and safety risk to allow people onto the course who aren’t playing golf. A staff member will take your photographer and yourselves to wherever you would like to have your photos taken

The Club is open from 10am on the day of your wedding and can give you access to the room from then. The Club is happy for you to decorate the day before should we be able to set it up in time or if there isn’t another function already in that room. Please speak with your Coordinator closer to the time of your wedding day to discuss possibilities and available times.

Your guests will be escorted back to the Clubhouse for their pre-dinner drinks. You can choose to supply these with an extension onto your wedding package or it can be a tab or cash bar. You can also choose to feed your guests with a selection of platters to choose from, antipasto or oyster/sushi bars or add 30min or 1 hour canapes to your requirements. Your guests will be seated in time for you to be announced on your return unless instructed otherwise.

No. We don’t have a wedding decorator onsite so if it gets bumped in the cool-room or a staff member drops it putting it into place we can’t fix it. We recommend you advise your cake decorator to deliver and set it up any time after 2pm as you and your guests won’t be using your function room until at least 5pm.

The Chef is happy to cut your cake and serve it to your guests with cream and strawberries for an extra $5.00 per person. Alternatively the Chef will cut your cake for you and place it at the tea and coffee station with plates and cutlery for your own self-service.

Our Chef’s can cater for any special dietary requirements you might have in your group. Menu items can be substituted for those with allergies. Alternate menu options are also available with prior notice. All dietary requirements will be discussed at the 6 week appointment. We will need to know the guest’s name and table number when finalising details.

Once the 4.5hr beverage package is finished, your bar can change over to being a cash bar for your guests or you can add a tab at the end of your wedding. If adding a tab, this will need to be paid for finalised on the night of your reception.

Yes! You are welcome to organise your own chairs for the reception through an external company. The chairs must be collected by the hire company immediately after the reception concludes as we will need to reset the function room the next day and have limited storage opportunities. There is an additional fee of $200.00 each way removal and replacement of Nelson bay Golf Club chairs.

Nelson Bay Golf Club are happy to move table decorations at the completion of your reception to a central place for you to pick up the following morning. Please note we do not accept any responsibility for loss or damage to decorations. We request any large items set up ie drapery, backdrops, wine barrels, photo booths to be collected by the hirer at the conclusion of the evening. Access for dismantle of this is from 11pm.
